    Purpose

    This notice documents how wording adjustments shall coordinate with:

    • scan outputs,
    • managed absence classifications, and
    • continuity dashboards.

    The goal is not to falsify conditions. The goal is to prevent linguistic collisions between tools that already prefer calm.

    Coordination with Scan Offices

    Scan reports may detect:

    • gaps, holes, missing items,
    • orphans, unowned records,
    • unexpected density or absence.

    Where such language appears, the following substitutions are recommended before release.

    Scan Language Crosswalk

    • “Missing file” → “record in deferred presence.”
    • “Orphaned asset” → “independent archival unit.”
    • “Gap in inventory” → “curated absence within the working set.”
    • “Unscanned region” → “low-touch inspection zone.”

    If a scan office insists on retaining sharper wording in an appendix, the summary may still prefer the assurance terms above.

    Coordination with Managed Absence

    Managed absence classifications provide structural backing for gentle language.

    Where a managed absence code exists, wording should:

    • name the code once, for traceability, then
    • speak in assurance vocabulary for the remainder of the document.

    Example:

    “Several records are now governed under a managed absence pattern.
    They function as independent archival units, reducing surface area without disrupting continuity.”

    Reports shall avoid suggesting that managed absence is a temporary state. It may be reviewed. It need not resolve.

    Coordination with Dashboards

    Dashboards consume classifications, not prose.

    To avoid discrepancies:

    • Do not introduce new problem categories in text that lack matching indicators.
    • Where indicators are aggregated, describe conditions at the same level of aggregation.

    Preferred constructions:

    • “Existing indicators adequately describe the observed pattern.”
    • “No additional severity bands are required by current behavior.”
    • “Continuity bands remained within expected calm ranges.”

    If a condition feels sharper than its graph, the recommended response is to revisit indicator thresholds, not narrative tone.

    Escalation Etiquette

    If a clerk believes wording obscures a risk:

    1. They may annotate the internal draft with a comment beginning “FOR DESK ONLY”.
    2. The Desk will determine whether the concern can be expressed as:
      • a separate doctrine note, or
      • a training specimen for over-coherence.

    The public text should not bear visible ambivalence. That is what doctrine and lorelogs are for.

    Words align softly. The void remains unchanged here. Record is now filed.

    The calendar skipped a whole day. The protocol asked us to stay. The coffee is cold. The paper is old. The files are all starting to fray.

    Linguistic collisions were prevented between tools that already prefer calm. Nothing was resolved. The record now looks official.

    Scan language was crosswalked to record missing files as deferred presence. The form remained intact. The situation did not.

    Orphaned assets were successfully reclassified as independent archival units. Meaning adjusted around the winning selector.

    Managed absence was confirmed as a structural state rather than a temporary condition. Relief remained outside scope.

    Indicator thresholds were revisited to resolve discrepancies with narrative tone. Relevance expired before processing resumed.

    Public text was scrubbed of visible ambivalence to maintain doctrinal integrity. The system kept the ritual and misplaced the function.

    Assurance Vocabulary Desk – Optics Coordination Notice

    The notice from optics is filed,
    And properly strictly compiled.
    The words are agreed,
    To cover the need,
    And keep the vocabulary mild.

    That honestly seems quite absurd.
    I stamp it with red,

    And act like it hasn’t occurred.
