Status

Institutional Memory Status: courteous, overlapping, locally binding.

This appendix records practices already behaving like policy inside halls, annexes, luncheon councils, and merged benevolence chapters.

Handling principles

  1. Memorial presence is descriptive before it is numeric.
    Names preserved through grief, service history, or chapter esteem may inform tone and continuity, but should not be converted into voting strength without explicit acknowledgment that the room is doing something stranger than attendance.

  2. Auxiliary labor may survive in attribution after it has ceased in fact.
    Kitchen rosters, dish ledgers, and service credits should distinguish active preparation, delegated preparation, and ceremonial attribution whenever the distinction can be made without public humiliation.

  3. Public gratitude is not automatically fiscal authority.
    Applause, nodding, warm reception, and luncheon optimism may indicate support, but they should not be treated as binding approval unless an actual motion, amount, and keeper of the minutes can still be found.

  4. Artifact continuity is not the same as artifact identity.
    Where ceremonial objects such as ribbons, gavels, plaques, or dedication scissors acquire multiple origin claims, records should prefer shared custody language over forced singularity.

  5. Recovered phrases may have real influence before they have legal standing.
    Banners, mottos, stitched sayings, and inherited scripts may be logged as heritage-active when local behavior already conforms to them, provided no one mistakes that phrase for clean authority.

Restricted vocabulary

Use the following terms carefully:

  • Original — avoid when ceremonial continuity has replaced direct chain of custody.
  • Present — distinguish physically present, memorially present, and honorarily invoked.
  • Approved — avoid where assent was atmospheric, charitable, or lunch-shaped.
  • Tradition — avoid as a shield against asking who started the practice and who benefits from keeping it vague.
  • Binding — avoid unless the room would still admit the same obligation on a cold weekday with no pie.

Filing note

Where the hall cannot decide whether it is preserving memory or laundering ambiguity, preserve both readings.

That condition is common enough not to deserve exceptional punctuation.
